Oriona AI – Product Specific Terms

Oriona AI is a self hosted AI platform provided by Taskworld. These additional terms apply to your use of Oriona AI in addition to the Taskworld Customer Terms of Service.

Oriona AI is an enterprise AI platform developed and owned by Taskworld. It allows you to run large language models and AI agents inside your own infrastructure so that your data stays within your environment.

Your use of Oriona AI is subject to the Taskworld Customer Terms of Service and Privacy Policy. This section sets out additional terms that apply specifically to Oriona AI. If there is any conflict between these Oriona AI Product Specific Terms and the general Taskworld Customer Terms of Service, these Oriona AI terms will apply to your use of Oriona AI.

1. Definitions

In addition to the definitions in the Taskworld Customer Terms of Service, the following definitions apply to Oriona AI:

  • Oriona Platform means the Oriona AI software provided by Taskworld for utilizing large language models and AI agents, including user interfaces, orchestration services and connectors.

  • Self Hosted Deployment means an installation of the Oriona Platform in your own infrastructure, such as your on premise servers or your cloud accounts, which you operate and control.

  • Customer Environment means the networks, systems and cloud accounts that you own or control where Oriona AI is installed and runs.

  • AI Agent means a configured software agent within Oriona AI that can process Customer Data and perform automated actions in connected systems according to rules and permissions set by you.

  • Customer Data means any data, prompts, inputs, configuration or other information that is processed by Oriona AI on your behalf.

  • Third Party Components means any third party models, databases, APIs or services that you connect to Oriona AI.

2. Scope and deployment

Oriona AI is licensed to you as a separate product of Taskworld and is deployed only as a Self Hosted Deployment in your Customer Environment. Taskworld does not host Oriona AI for you and does not operate your infrastructure.

Taskworld may provide software updates, technical support and optional remote services related to Oriona AI. For these limited purposes, Taskworld may act as a processor or sub-processor of Customer Data where you choose to share such data or enable temporary access, as further described below and in any applicable data processing agreement. Because Oriona AI is self-hosted, you are responsible for installing recommended updates in your environment. If you refuse or fail to install updates within a reasonable time, Taskworld is not required to maintain compatibility or continue providing support for the affected version. Taskworld will only access your environment with your prior authorisation and solely for troubleshooting or support purposes, and such access will be limited to what is reasonably necessary to provide that assistance.

3. Data location, processing and telemetry

In a Self Hosted Deployment, Customer Data is stored and processed inside your Customer Environment. Taskworld does not have routine access to Customer Data and does not copy Customer Data out of your environment, except where:

  1. you choose to send technical telemetry to Taskworld, such as error messages, performance data or usage statistics, or

  2. you actively provide data or logs to Taskworld for support, troubleshooting or professional services.

Taskworld uses telemetry and support data only to operate, secure and improve Oriona AI and does not use it to train general purpose foundation models.

You are responsible for configuring what data is logged in your environment and for redacting or anonymising data where needed to meet your internal and regulatory requirements.

4. Security and customer responsibilities

Because Oriona AI is deployed in your own infrastructure, you are responsible for the security of the Customer Environment. This includes:

  • access controls for users, service accounts and API keys

  • network security, firewalls and segmentation

  • encryption, backups and disaster recovery

  • operating system and infrastructure patching and hardening

Taskworld is responsible for the secure design of the Oriona Platform itself and for the security of any systems that Taskworld operates directly when providing updates or support services. Taskworld cannot control and is not responsible for the configuration or security of your Customer Environment.

You must ensure that only authorised users can access Oriona AI and that credentials, API keys and other secrets used by Oriona AI are stored and handled securely.
You are solely responsible for ensuring that your use of Oriona AI complies with all applicable laws, industry regulations, and internal policies

5. AI Agents, automated actions and human oversight

You control how AI Agents are configured and which systems and data sources they can access. You are responsible for:

  • defining goals, prompts and permissions for AI Agents

  • deciding which tools, connectors and workflows an AI Agent may trigger

  • setting up appropriate human review and approval processes for sensitive actions

You understand that AI Agents can create, modify or delete data in connected systems according to your configuration. You remain responsible for any actions that AI Agents perform in your environment or in systems that you connect to Oriona AI.

You agree to maintain appropriate human oversight over AI generated content and AI driven actions, especially where they may have legal, financial, safety related or compliance consequences.

6. Third party models and tools

Oriona AI can connect to Third Party Components such as large language models, databases or external SaaS applications that you select. Your use of these Third Party Components is subject to their own terms and privacy policies.

Taskworld is not responsible for the availability, performance or security of Third Party Components and is not liable for any loss or damage arising from their use, except to the extent caused directly by a fault in the Oriona Platform itself.

You are responsible for ensuring that you have all necessary rights to allow Oriona AI and any AI Agents to access Third Party Components and the data they contain.

7. AI output and limitation of liability

You understand that outputs generated by large language models and AI Agents are probabilistic, may be inaccurate and may not be suitable for every purpose. Oriona AI is designed to support your teams and workflows, not to replace professional judgement.

You remain responsible for reviewing and validating AI generated outputs before using them for business decisions or making them available to third parties.

The limitation of liability and exclusion of certain types of damages in the Taskworld Customer Terms of Service apply to your use of Oriona AI. In addition, Taskworld will not be liable for:

  • decisions or actions you or your users take based solely on AI generated output without appropriate human review,

  • loss or damage that results from misconfiguration of AI Agents or connectors, or

  • security incidents, data loss or downtime that originate in your Customer Environment or in Third Party Components.

  • Oriona AI and all AI outputs are provided “as is” and “as available” without warranties of any kind, whether express, implied, or statutory
